Job Description

Matter Management

  • Assist with client and matter clearance and opening
  • Assist with AML processes, MTM maintenance
  • Draft engagement letters
  • Manage associate's checklist
  • Handle matter document folder
  • Responsible for matter project administration (from the opening to the closing of matter and supporting post-closing activities such as billing, archiving)
  • Coordinating client & matter-team meetings

Commercials/Billing/Collections

  • Monitoring and recording project scope and adjustments, estimates, caps, billing agreements
  • Compiling matter balance report and client fee updates
  • Working Capital management – facilitate all WC activities:
  • organizing monthly meeting between relevant partner and working capital team to review WIP/Debt positions.
  • Preparing for monthly meetings by circulating drafts to fee earners for review, with final review by lead associate
  • If meetings need to move due to client commitments, responsible for rearranging meeting to ensure it occurs every month
  • Supporting billing and collection tasks

Business Development Support

  • Supporting Partners and the BD team with business development activities:
  • Amending business development and client focus materials including CVs, pitches, presentations, client briefings etc.
  • Monitoring of business development collateral such as CVs and MIS to ensure it is up to date
  • Organizing, facilitating and providing host support for events where required, including virtual events.
  • Facilitating updates to clients
  • Tracking BD activities

Matter Team Support

  • Assisting with document production and DPU liaison where necessary, including:
  • Transcribing, editing and amending legal and other documents.
  • Converting, comparing, copying, typing and proofreading the same as necessary, ensuring that documents comply with house style
  • Assisting with signing pages where applicable
  • Assisting with e-Filing where applicable
  • Assisting with Post-closing activities where applicable

Best Delivery/Legal Tech/KETL Opportunities/Projects

  • Understand and support the use of legal technology, including facilitation and management of solutions applied to a matter where necessary, including knowledge of the Best Delivery checklist.
  • Act as a Best Delivery tools superuser
  • Facilitating end of matter review to identify follow on opportunities such as deal reviews, KETL opportunities etc

Complex Travel Arrangements

  • Assisting with flight and hotel bookings, changes, insurance, visas and other travel related services which a team assistant/concierge is unable to manage effectively

Qualifications

  • Good command of spoken/written Chinese and English, spoken Mandarin is an advantage
  • Experience in supporting litigation & dispute resolution matters is a plus
  • Proficiency in MS Word, Excel and PowerPoint, with knowledge of local language typing
  • Able to work independently, take initiative, polite and with positive working attitude
  • Strong sense of responsibility and excellent organizational skills
  • Strong team player
