Job Description

Matter Management and Billing Activities

  • Process client acceptance forms and collect AML/KYC documentation.
  • Ensure new matters are opened and existing legal files are maintained.
  • Assist lawyers with timesheet reviews and invoice preparation.
  • Attend WIP and debtors' meetings, ensuring follow-ups with the billing team.
  • Verify draft invoices for accuracy and compliance, finalize and issue them.
  • Respond to invoicing queries and manage document collection.

Follow-up of Payments

  • Handle client questions regarding invoices.
  • Analyze financial aspects of client files with partner, lawyers and the finance department.

Client Focus and Support

  • Schedule client meetings and calls.
  • Develop PowerPoint presentations, Excel spreadsheets, and fee quote documents.
  • Foster relationships with internal and external clients.

Practice Management

  • Manage queries, files, and prioritize tasks.
  • Handle and manage yearly audit requests from auditors.
  • Schedule meetings, book rooms, and prepare materials.
  • Draft correspondence and manage the document cycle.

Qualifications

  • Ideally a first experience in an administrative or billing assistant position, in a law firm or with an international service provider.
  • Bachelor or Master's degree in administrative assistance, secretarial field or accounting.
  • Fluency in French and English, German or Luxembourg are a plus, any other European language would be appreciated.
  • Good knowledge of Microsoft suite and the ability to quickly learn other IT systems (experience with various e-billing systems is considered an advantage).
  • Dynamic and "willing to learn" attitude.        
  • Ability to prioritise workload and to work well under pressure.
  • Flexible and able to work as part of a team in a confidential manner.

As a Legal Secretary and Billing Assistant you will be joining the Tax department at Clifford Chance, where you will be responsible for providing professional administrative support to the lawyers in relation to both billable and non-billable work, and ensuring clients are serviced in a professional manner and in accordance with the Firm's policies.
