Job description
The Commercial Assistant sits within our commercial hub in Warsaw and is part of the finance team. You will be assisting with, and taking ownership for a range of activities across the order to cash cycle to drive efficiency and reduce lock-up. You will predominantly be working with finance and secretarial colleagues from our German speaking offices as well as the offshore team in Delhi, but you may also have contact with fee earners, including Partners when required.
What you will do:
The following activities and tasks will constitute some of, but not all of your role, and you may be expected to perform tasks outside of this description and where required.
Operational Activities and Tasks:
New Matters Opening:
- Support the Matter Inception process and ensure matters are compliant with client agreements. This will include monitoring and chasing any missing client and matter billing information such as PO Numbers and Client Matter IDs;
- Enter and maintain fee-earner charge out rates, including where appropriate, working with the offshore team in Delhi to do so;
- Follow-up pending new matters openings.
Collection:
- Follow-up on overdue invoices sending automatic reminders and managing status in the system.
- Liaise with local office for escalation and update accordingly.
Billing:
- Follow-up billing dispatch to ensure accuracy of collection activities.
- Assist in complex bill amendments.
- Amend, authorise and print bills.
- Fluent in English and German; Polish is desirable but not essential.
- Strong verbal and written communication skills, with confidence engaging with internal and external stakeholders at all levels.
- Excellent organisational skills, attention to detail, and a high level of accuracy.
- Able to follow defined processes and quickly understand new concepts.
- Proactive, flexible, solution-focused, and open to change.
- Motivated to learn and committed to delivering high-quality work.
- Strong Microsoft Office skills, especially Excel, and confidence using IT systems.
- Good understanding of order-to-cash financial processes.
- Bachelor’s degree in Business, Accounting, Finance, Economics, or similar preferred.
- Commercial experience would be an advantage.
