Job description
The role
It is imperative to maintain the uninterrupted flow of work by facilitating seamless transitions between shifts, prioritizing client tasks, and optimizing job turnaround times. This involves making accurate estimations, setting realistic deadlines, and closely monitoring both current and anticipated workloads to ensure the smooth and efficient operation of our processes.
- Understanding of work profiles, to ensure accurate estimates. Assign tasks to designers based on project needs, skill sets, and availability
- Capturing accurate information in the Workflow Tool.
- Workflow planning across the shifts -leading on handling work through Outlook, in person and virtual.
- Ensuring timely and efficient handovers between shifts.
- Effective co-ordination/management of work to ensure deadlines are achievable whilst maximising team capacity and capability
- Supporting the Senior Manager with deadline-driven reports and ad-hoc reporting.
- Actively supporting the team with heavy volumes by contributing to the completion of design tasks.
- Ensuring that "Best Practice" guidelines are followed at all times.
- Applying relevant software knowledge when required.
- Completion of all administrative documentation in relation to workflow data and management information.
- Delivery of exceptional and professional client service.
- Leading as the first point of contact during contracted hours for client communication (queries, logging projects/work, monitoring the progress of projects/work).
- Ensuring all communications are efficient, timely and effective between different locations.
- Working closely with the Brand Team to check brand adherence, and to expand the firm's portfolio of design layouts.
- Actively encourage and seek collaborative working relationships with other departments in global offices.
- Actively seek and provide efficient responses, to feedback.
Your experience
- Possessing a degree in business administration, management, or a related field, with a background in adhering to corporate branding guidelines. Additionally, adept at creatively coordinating and supporting the production of customized client materials as needed.
- With a minimum of 7 years in coordination or project management roles within intense and demanding design or analogous fields, demonstrating resilience and efficacy under pressure.
- Exhibiting exceptional communication and multitasking abilities, along with a keen eye for detail and accuracy. Possessing both critical discernment and creative acumen.
- Must have strong time management and organizational skills with the ability to multi-task and handle a heavy workload in order to be able to fulfil responsibilities within the department.
- It is essential to have a foundation in the Microsoft 365 Suite, particularly in PowerPoint, Word and Excel.
- Should be comfortable working in different shifts as per business needs.
- The candidate should possess strong problem-solving abilities, enabling them to tackle critical issues effectively.
- Having basic knowledge of design software and tools, including Adobe Creative Suite, such as InDesign, Photoshop, and Illustrator, will be an added advantage for this role.
