Job Description

This 6-month fixed term contract position is part of the Finance team that supports finance and accounting operations of Clifford Chance's Hong Kong office.

Reporting to the lead of billing team, the person is responsible for the timely and accurate preparation and distribution of client invoices and credit notes.

Key Responsibilities

Bill Preparations

  • Closely monitor the billing queue status and timely actioning billing jobs in the billing queue and liaise with the responsible Partners and Secretaries for their instructions.
  • Work closely with Secretaries and prepare and issue pre-bill guide as requested by fee earners and attend to any follow up amendments & corrections.
  • Review draft bills prepared by Secretaries to ensure they are accurate and in line with instructions, and finalising bills in the system.
  • Review instructions received from Partners and Secretaries, eg billing, time transfer, time/disbursement write off, invoice reversal etc, to ensure no contravening to internal billing/compliance policies or local regulations;
  • Preparing bills efficiently with highest standard and accuracy in accordance with our billing policy and the client's engagement letter;
  • Follow up timely with Secretaries for any noted issues with regards to matter set up and rates.
  • Being the first point of contact for Secretaries to resolve any issues or queries for billing or e-billing.
  • Having basic understanding of VAT and WHT at the operational context and applying correct tax charges to bills as relevant.
  • Dispatch bills timely and follow up the dispatching status of bills dispatched directly by Secretaries and Fee earners.
  • Filing dispatched invoices accordingly to our filing guidelines.

E-billing

  • Have good knowledge and understanding of various commercial e-billing platforms and their specificities.
  • Support Secretaries in E-billing GPMS/Incept set up according to the client's e-billing platform to prevent billing issues.
  • Upload and submit e-bills timely and escalate any issues to London e-billing for resolutions.
  • Co-ordinate with London and Delhi e-billing teams and leverage on their support and process as much as possible.

Month End Close

  • Responsible for month end close for billing and ensure all month end checks and controls are attended to and completed.
  • Supporting month end reporting and analysis relating to billing.

Others

  • Supporting the overall control of Hong Kong's office billing status and follow up on aged WIP for explanations.
  • Being the back up for other finance functions eg Accounts Payable and Cashier as required as required and attend to other tasks as assigned by Hong Kong GM or Controller.
  • Enhance local efficiency by regularly updating Secretaries on system changes and providing billing training to Secretaries.
  • Being part of the APAC Billing community and contribute any sharing and process improvement initiatives.

Qualifications

  • 5 year experience in a similar or data-processing role which requires attention for details with good aptitude to learn.
  • You should be confident in following a pre-determined set of processes
  • You should be able to demonstrate excellent communication skills, both verbal and written, with the ability to escalate/collaborate with team members in achieving successful outcomes that meet business needs. You should possess the confidence to communicate with people at all levels both internally and externally.
  • You should be able to demonstrate excellent organisational skills, with an aptitude to understand new concepts quickly.
  • You will need a flexible working approach and be solution focused in delivering the role's responsibilities.
  • Good system skill e.g. Excel and Outlook.
