Job Description

The Role

 

Responsible for the planning and execution of corporate events including large scale conferences, seminars, sponsorship events, client entertainment and strategic internal events. The individual is main contact for digital platform solutions for events and client engagement and assists with the production of video and social media content related to the event when required. The individual is required to manage multiple events simultaneously with a proactive and creative approach to event management. 

 

Major Responsibilities

 

  • Organise all allocated events to the highest standards required by the practice areas and/or management
  • Work independently from conception to execution; including pre-event organization (venue sourcing and price negotiation), budget management, onsite execution, staff management, senior management liaison, final cost analysis and post-event feedback and analytics.
    • Participate in brainstorming sessions with internal stakeholders including partners to develop creative concepts or tackle efficiency issues
    • Provide strategic advice regarding the value, purpose and feasibility of the event
    • Use negotiating skills when dealing with venues and suppliers to ensure best outcome, discounts, and cost savings for the firm
    • Project manage timelines for all major events
    • Establish clear communication channels with internal and external clients and communicate necessary requirements
    • Onsite work: coordinate suppliers, handle client queries and troubleshoot on the day to ensure the event runs smoothly and on budget
  • Liaise with global events team on a regular basis to understand and share best practice.
  • Serve as the go-to contact for expertise on virtual platforms and advise senior partners and management on the best solutions.
  • Bring creative ideas and assist with video conceptualisation and production to attract target audiences to our owned channels such as the Firm website and LinkedIn page.
  • Liaise with Regional Business Managers and senior partners on cross-practice offsites which would involve managing the events online platform, Eventology, including registration, agenda updates, etc. Also manage logistics, suppliers and budgets.
  • Work closely with teams including brand marketing, communications, business development, graphics and IT on regular basis for events and help ensure brand consistency.

Qualifications

Your experience

 

  • 5 + years' experience working in a similar role
  • Event management skills and attention to detail
  • Creative and strategic thinker. Confident to engage with stakeholders across different seniorities        
  • Ideally has experience working in a professional services firm, but not a must
  • Practical, proactive, commercially minded and service driven with a "can do" and positive attitude
  • Strong organisational skills and ability to prioritise
  • Sensitive to different business cultures
  • Ability to build effective relationships at all levels
  • Ideally speaks Chinese but not essential
