The Role
The HR Coordinator is currently responsible for providing operational HR coorindation and assistance for the Human Resources function in Australia including but not limited to HR operational lifecycle activities such as onboarding, inductions, probations, secondments, promitions and offboarding and assisting with recruitment as requried, as well as office wide initiatives.
You will have experience working in a dynamic, fast paced HR environment and excellent attention to deail.
The APAC HR team is embarking on a period of transition and as such this role needs someone with a flexible approach, open mind and passion to work with our Global Service Delivery team optimise HR APAC processes.
Key Responsibilities
General HR Administration
- Work with our Global Service Delivery team to maintain the HRIS system (currentlyworkday), including ensuring employee mid and end of month reports are accurate
- Maintain the HR filing electronically
- Update all necessary tracking documents to ensure the smooth operation of the local HR function.
- Assist in keeping on top of corresponce into the shared group HR inbox
- Work with Global Service Delivery team to prepare draft contracts and letters for all staff lifecycle events
- Administration of leave for staff, including approvals, chasing up sick leave and generally monitoring leave levels.
- Provide updates on appraisal completion rates and at times sit in on contentious appraisal meetings and provide support on note taking
- Monitor and action mid and end of probation adminstartion including sitting in on mid probation review meetings
- Support on training as required. This could include Academy courses and technical focussed courses.
- Provide the HR team with administrative support
- Keep local organisation charts up to date monthly
- Prepare monthly headcount reports
- Assist with wellness and benefits programs
- Own the monthly operational One Note on behalf of the HR team
- Keep payroll informed of an changes
- Provide upates to our Private Health Insurance provider
- Ad hoc HR projects and tasks
- Assist with HR functions when required
Recruitment
- Assist our APAC talent acquisition team with maintaining our local agency relationships and sitting in on interviews as and when required.
- Manage our local temp contracts with preferred agencies
Graduate Recruitment
- Provide support the the HR team during the Summer Clerkship recruitment and onboarding process in Sydney and Perth where required. This includes but is not limited to creating new joiner/interview packs, maintaining personnel folders and scheduling interviews
- Assist with logistics for events, law fairs and employer presentations on the east coast
New Joiners
- Coordinate all new joiner documentation and work with Global Service Delivery team on scheduling of inductions
- Manage Vero checks for new joiners and keep track of their progress, escalate to HR Manager if delays occur
- Monitor and coordinate three-month reviews and six-month probation meetings
Leavers
- Coordinate all leaver documentation and process
- Cordinate final payment with payroll
Your experience
- You will have a HR generalist experience in a large commercial environment (18 months to 3 years experience), ideally Professional Services.
- You will be confident and willing to engage with staff. You will have good communication skills and a friendly, outgoing and approachable manner.
- You will be an accurate worker with high attention to detail, and excellent organisational skills. You will be proactive and be able to demonstrate new initiatives you have implemented. You will have the ability to work under pressure and to deadlines in a high performing environment.
- Experience of Microsoft Office and Excel essential.
- Experience with Workday preferable
