The Role
The Knowledge & Information team is responsible for:
- Proactive and reactive delivery of relevant news and current awareness
- Reacting to a range of requests for internal and external information
- Ensuring access to and evaluation of relevant and appropriate information resources
- Training clients so they have the expertise to research efficiently using the services and systems provided
- Facilitating the implementation and effective use of the firm's knowledge systems
Scope of Role
The K&I Officer has responsibility for the day-to-day delivery of the service and to proactively contribute to its development in conjunction with other team members. The K&I Officer will primarily be required to:
- Handle enquiries.
- Support the implementation and management of K&I products and processes within the practice areas and/ or sector groups.
- Deliver training on information resources.
- Contribute to and occasionally lead projects

Handle enquiries
- Handle information enquiries which range in subject matter and complexity, to established service levels
- K&I Officers will not be responsible for in-depth legal research, but will need to provide information to enable internal clients to undertake the legal research
Support the implementation and management of K&I products and processes within the practice areas and/ or sector groups.
- Use online and hard copy resources to identify specific developments and disseminate them in the most appropriate manner e.g. via email and newsletters.
- Capture and organise knowledge and information for inclusion in internal knowledge systems. This requires the ability to understand, abstract and disseminate key information.
- Identify potential new books and periodicals; participate in the assessment of subscription databases; make recommendations based on an understanding of internal client needs.
- Develop and maintain relevant Intranet pages.
Deliver training on information resources
- Ensure internal clients are aware of all relevant information resources.
- Identify training opportunities for existing clients and new joiners and contribute to their development and delivery, e.g. one-to-one, group presentations, online and hard copy guides.
Contribute to and occasionally lead projects
- Contribute to the implementation of knowledge systems with the practice areas.
- Contribute to and occasionally lead initiatives e.g. roll out a new online service.
Your experience
Decision Making
- Make decisions within clear guidelines about the types of issues that should be resolved independently and those that should be escalated; needs to demonstrate sound judgment.
- Interpret existing policies and practices, and input into the development of new or amended procedures.
- Understand that decisions will impact the effectiveness and perceptions of the service.
Problem Solving
- Display initiative and a pro-active approach to resolving problems, often requiring lateral thinking.
- Handle a range of challenging enquiries; draw upon past experience and expertise to quickly identify and interpret the nature of any problem.
- Clarification or assistance may also be sought from other members of the team or the wider K&I community, as well as the line manager.
- May be required to identify technical solutions to problems. This may entail liaison with internal and/or external third parties.
- Take ownership of tasks.
Leadership
- Maintain the confidentiality of the firm and its clients at all times.
- Lead by example and act as a mentor for less experienced team members.
- Be a primary point of contact for internal clients with information needs.
- May also be required to lead activities/projects in the team e.g. rolling out a new online subscription; give regular progress reports to their line manager.
Interaction
- Have good communication skills in order to confidently build relationship with internal clients at all levels in the Firm. Able to communicate effectively with external 3rd parties to maintain effective relationships to benefit the Firm.
- A strong team player.
- Communicate legal and/or market developments to internal clients, as well as seeking feedback from them on their general information requirements. Review this feedback and advise on the appropriate solutions.
- Convey technical and general information clearly and concisely to a non-technical audience, thus establishing trust and credibility in ability to provide appropriate solutions as a trusted advisor.
- Build effective working relationships within their practice area, through networking and use of personal influence.
- Liaise and collaborate with the PSLs in the Practice Area to update and maintain various information resources.
- Proactively meet with internal clients on a regular basis, keeping the Practice Area/Group informed of developments and obtaining feedback through enquiry work and training.
Professional Expertise
- Have some information work experience gained preferably in a professional services or corporate environment.
- Experience of online database research required.
- General knowledge of Hong Kong legal framework preferred.
- Experience of Microsoft Office (Word, Excel, Powerpoint) required as well as good general technical skills in order to use and manage the various information systems and interfaces.
- Develop a good understanding of the work of the Practice Areas to appreciate internal clients' information needs, to identify relevant knowledge and effectively disseminate it.
- Bachelors degree or equivalent in legal or information services field preferred.
- Fluent in English and Mandarin.
