Job description
Who you will work with?
You will assist Partners, Counsel and Senior Lawyers on matter-related activities.
You will provide a proactive support to them primarily in relation to billable client work and you will ensure that clients are serviced in a professional manner and in accordance with the Firm's policies and procedures. This includes being a part of a client matter team and coordinating and supporting all matter-related processes from matter inception to project completion, billing and collection, matter team support and business development support services.
You will work closely with the Finance, BD/Communications, Best Delivery and K&I teams.
What you will be responsible for?
Matter management:
- Client and matter clearance and opening
- AML processes
- Engagement letters
- Matter Team Management (MTM) maintenance
- Managing associate's checklist
- Matter document folder
- Matter project administration (from the opening to the closing of matter including setup of matter SharePoint site/i-Manage, to supporting post-closing activities such as bibling, archiving)
- Client & matter-team meetings.
Commercials/Billing/Collections:
- Ensure Matter is set up correctly (update of matter financials during the lifecycle of the transaction, incl. update of fee related to "out of scope", etc.
- Monitoring and recording project scope and adjustments, estimates, caps, billing agreements
- Matter balance report and client fee updates
- Working Capital management – facilitate all WC activities:
- Organising and attend monthly meeting between relevant partner and working capital team to review WIP/Debt positions
- Preparing for monthly meetings by circulating drafts to fee earners for review, with final review by lead associate
- Following-up of Partners' actions after WIP/Debtors meetings
- Reviewing time entries/make time entry amendments
- Review held time and missing time
- Prepare and review draft bills with lawyers
- Matching of time in a bill, check meeting times are consistent across attendees
- Review and follow-up on applicable disbursements and anticipated costs
- Chase outside counsel for missing invoices (if any)
- Liaising with the billing team and dispatch invoices to clients safely
- Collate invoice cancellation documentation and request client credit note.
Business development and communications support:
Supporting Partners and BD team with business development activity:
- Amending business development and client focus materials including CVs, pitches, presentations, client briefings etc.
- Monitoring of business development collateral such as CVs and MIS to ensure it is up to date
- Organising, facilitating and providing host support for events where required, including virtual events
- Facilitating updates to clients
Matter team support:
- Document production and DPU liaison where necessary, includes transcribing, editing and amending legal and other documents, converting, comparing, copy typing and proofreading the same as necessary, ensuring that documents comply with house style
- Signing pages where applicable
- e-Filing where applicable
- Post-closing activities where applicableT
Best Delivery/K&I
- Advising Partners / Associates on the use of Best Delivery tools (CC Connect, Workshare transact, Template automation)
- Advising or prompting Partners / Associates to liaise with Legal Delivery Centres (Delhi)
- Dealing with basic Legal Project Management activities (on Matters where LPM are not assigned)
- Drafting automated documents (e.g. engagement letters automated by Best Delivery for Partners to review)
- Producing newsletters, maintaining knowledge databases
- Reviewing templates (proofreading, sense-checking)
- Maintaining topic guides/information hubs on the intranet
- Organization of knowledge teams (scheduling regular meetings, drafting agendas and minutes)
- Organising internal training sessions

Your career experience so far?
- You have excellent French and English communication skills both verbal and written
- You have intermediate/advanced computer skills, including web search, MS Word, PowerPoint, Outlook and Excel
- You have an affinity for Business Development and Commercial Services
- Exceptional team player and ability to work autonomously, you are used to work in a demanding environment
- You have excellent organisational skills with particular attention to details
- You have strong collaboration and interpersonal skills
- You have willingness and enthusiasm to work with and support different groups within the firm as required
- You have excellent work ethic, are proactive and motivated to learn
