Job description
We are seeking a highly organized and detail-oriented Practice Support Coordinator to join our litigation practice in Singapore. In this pivotal role, you will provide comprehensive administrative support to our legal professionals, ensuring efficient operations and exceptional client service.
- Serve as the primary point of contact for internal and external inquiries, managing communication via phone and email
- Coordinate complex schedules and manage calendars for multiple attorneys, including organizing meetings across different time zones
- Prepare court bundles for hearing, assist with court filings via e-Litigation
- Implement and maintain efficient file management systems, including document filing, archiving, and retrieval
- Arrange domestic and international travel for legal professionals, including visas, accommodations, and itineraries
- Draft and prepare various legal documents, correspondence, and presentations with guidance from attorneys
- Manage end-to-end document processes, including proofreading, formatting, and collaborating with specialized teams
- Support client relationship initiatives by arranging meetings, preparing materials, and maintaining client information
- Assist with financial management tasks, including invoice processing and time sheet management
- Coordinate with various departments to ensure compliance with firm policies and procedures
- Organize and support internal and external events, including client meetings and team-building activities
- Utilize and promote the use of best practice tools and technologies to enhance efficiency and productivity
- Bachelor's degree in Business Administration, Legal Studies, or a related field
- 5+ years of experience in a similar role, preferably in a multinational organization or law firm
- Experience in supporting litigation and disputes practices are preferred
- Proven experience as an Executive Assistant or personal secretary to senior management
- Strong proficiency in English; additional language skills are highly valued
- Expert knowledge of MS Office suite (Word, Outlook, PowerPoint, and Excel)
- Familiarity with legal terminology, processes, and document management systems
- Excellent organizational and project management skills with the ability to prioritize tasks effectively
- Strong problem-solving skills and ability to multitask in a fast-paced environment
- Exceptional attention to detail and accuracy in all aspects of work
- Outstanding written and verbal communication skills
- Ability to work independently and collaboratively in a team environment
- Flexibility to adapt to changing priorities and work well under pressure
- Discretion in handling confidential and sensitive information
- Experience with virtual collaboration tools and ability to provide remote support when necessary
- Proactive, customer-focused approach with a commitment to delivering high-quality support
