Job Description

This position is responsible for assisting Partners with and management of the day-to-day operation of their designated practice in are and the supervision of the Practice Support Coordinators (PSCs) within that practice area, in a professional manner and in accordance with the Firm's policies and procedures. The Practice Support Supervisor will take full ownership of the delivery of their key responsibilities detailed below.

Key Responsibilities

Practice Management

  • Identify opportunities for improvement of operational systems, processes and best practice.
  • Assist with oversight of team capacity and utilisation ensuring that the practice area is operating efficiently and effectively.
  • Direct workflows and work allocations with other members of the team including Practice Support Coordinators (PSC's), paralegals and other teams within the firm.
  • Identify opportunities and matters that would benefit from legal project management and highlight these opportunities with partners and the LPM team.
  • Assist with the management of the Partner's CLE and training requirements.
  • Coordinate and where appropriate chairing practice area meetings.
  • Assist with logistics for meetings and events, both locally and interstate, liaising with Facilities team members as appropriate.
  • Provide a liaison point for HR during the recruitment and onboarding processes and provide assistance with the coordination of the appraisal process as required.
  • Liaise with Facilities team members to manage facilities requirements for the team including allocation of desks or hubs for team use.

Resource and Workflow Management

  • Manage peaks and troughs in the PSC's workloads, allocating work appropriately and ensuring that the individual workloads are balanced.
  • Regularly review the practice support service levels with the Facilities Manager, Australia.
  • Manage the interface between practice support coordinators and the DPU (London, Delhi/New York), taking corrective action when required.
  • Assist in the recruitment process for new Practice Support Coordinators for the practice area.

Performance Management and Career Development

  • Insist in the Inductions and training of new PSC's
  • Brief new PSC's about the best working practices and performance standards.
  • Review performance and training needs of new joiners
  • Assist with delivery of PSC's appraisals and aid in future development plans.
  • Review, Escalate and aid in addressing performance management issues by liaising with the Facilities Manager, Australia and HR team.

Matter Management

  • Client and matter clearance
  • AML processes
  • Engagement letters
  • Security Property Management maintenance
  • Matter project administration (from the opening to the closing of matter including setup of matter iManage site, updating email distribution lists, to supporting post-closing activities such as bibling, archiving, and ensuring that all appointments and conference calls are in the fee earners' calendars)
  • Client & matter-team meetings and updates

Billing/Collections

  • Monitoring and recording project scope and adjustments, estimates, caps, billing agreements.
  • Matter balance reporting and client fee updates.
  • Support and coordinate billing and collection tasks including raising timely and accurate GPMS bills, invoices, tax computations and write-offs for billing team's review.

Business Development

Support Partners and the BD team with business development activity:

  • amend business development and client focus materials including CVs, pitches, presentations and client briefings etc.
  • Liaise with the BD team on pitches.
  • Ensure matters are captured in the appropriate systems
  • Keep client contact details up to date in InterAction
  • Update marketing lists in InterAction
  • Assist with the organization and facilitation of client events and provide host support for events where required, including virtual events.
  • Inform the BD team of the schedules of visiting partners and work with the BD team on the relevant logistics

Matter Team

  • Document production and DPU liaison where necessary, includes:
    • transcribing, editing and amending legal and other documents.
    • convert, compare, copy type and proofread the same as necessary, ensuring that documents comply with house style
  • Signing pages where applicable
  • e-Filing where applicable

Oversight of the preparation of bibles and distribution of bibles as necessary

Best Delivery/Legal Tech/KETL Opportunities/Projects

  • Understand and support the use of legal technology, including facilitation and management of solutions applied to a matter where necessary.
  • Facilitate end of matter review

Qualifications

Skills & Experience

  • Senior PSC experience in addition to a minimum of 2 years work experience in a similar or relevant supervisory role.
  • Proven ability to manage matter lifecycles and focus on working capital management.
  • Able to work in a high performing environment
  • Intermediate to advanced level of proficiency in Microsoft Word, Outlook Excel and PowerPoint
  • Strong organisational skills and meticulous attention to detail
  • A proactive, mature and collaborative approach to managing work and relationships within and across teams
  • Respectful of colleagues and able to work in an inclusive team environment
  • Effective at working both autonomously and within a team environment
  • Ability to innovate and streamline processes and tasks
