The Role

Key Responsibilities

A key aspect of the role will be to foster positive and collaborative working relationships with the Management team and staff from all departments in Riyadh. Additionally, this collaborative approach will extend to building a network across all regions.

  • You have excellent Arabic and English communication skills, both verbal and written.
  • You have intermediate/advanced IT skills, including web search, MS Word, PowerPoint, Outlook, Excel.
  • Exceptional team player and ability to work autonomously, you are used to work in a demanding environment.
  • You have excellent organisational skills with particular attention to details.
  • Willingness and enthusiasm to work with and support different groups within the firm as required.
  • You manage multiple activities at the same time and prioritize tasks appropriately.
  • You are motivated by client satisfaction (external and internal).
  • You have excellent work ethic and are proactive and motivated to learn

 

The focus of the role may shift over time depending on the needs of the team of fee earners. However, the Executive Secretary will be expected to perform tasks in the following key areas:

Core Services:

  • Calendar & Meeting Management: Manage schedules and act as the main contact for internal and external communication.
  • Travel: Organize travel, including bookings, visas, and transport.
  • Time & Expenses: Ensure timely entry and submission of time records and expenses.
  • Reception Liaison: Coordinate meetings and video conferences.
  • Administrative Support: Draft emails, letters, and manage documents (printing, scanning).
  • Team Support: Collaborate with the LSS team, assist during absences, and provide reception cover as needed.

 

Practice Support Services

  • Clearance & Compliance: Coordinate client conflict checks, matter setup, and ensure compliance with engagement letters and policies.
  • Matter Management: Organize client meetings, document archiving, and notify relevant teams when matters are closed.
  • Matter Team Support: Manage document processing (editing, formatting, proofreading) and assist with printing needs.
  • Administrative Assistance: Attend practice area meetings, take notes, and support the team with Best Delivery tools.

 

Key Working Relationships

Along with all Secretarial Services staff, a key attribute of the Executive Secretary success will be dependent on the positive and collaborative working relationships which they build with colleagues in the Practice Area. The key working relationships will be:

  • Fee earners to whom they provide first-line support and cover support
  • Office Manager
  • Billing & Finance, Business Development, Human Resources, Best Delivery, IT and Reception
  • Document Production Unit

 


Qualifications

Your Experience

  • University Degree
  • Fluent English/Arabic Level
