Job Overview

 

The goal of Information Services (IS) is to ensure all internal clients (fee earning and business services) have access to information resources which meet business needs cost effectively. This is achieved by:

  • Sourcing and delivering a range of services and systems which facilitate timely access to and retrieval of relevant and current information.
  • Training clients so they have the expertise to research efficiently using the services and systems provided.
  • Promoting what is available to raise awareness of information resources.
  • Continuous development of the service provided by IS in alignment with the firm's business services strategy. 

 

 

Who you will work with

 

The Assistant Knowledge and Information Officer (AKIO) will be part of the L&DR Information team, which also includes a Knowledge & Information Manager, and works closely with the three Knowledge lawyers and the Knowledge Partner.

 

 

What you will be responsible for

 

You will be responsible for ensuring that the core operational services are provided to internal clients.

The scope of the role will include, but is not limited to:

  • Practice group duties.
  • Supply, maintain and develop information resources.
  • Handle research enquiries.
  • Scanning and current awareness.
  • Assist with organising trainee training.
  • Assist with and manage projects.
  • Organise meetings.
  • Provide administrative assistance for the team as required.

 

 

What you will do

 

Practice group

The AKIO will:

  • Develop effective working relationships within the practice group and ensure their information requirements are developed and met.
  • Engage with lawyers at all levels to encourage knowledge sharing.
  • Support the K&I Manager with their work as and when needed.

 

Supply, maintain and develop information resources

  • Process and distribute information materials to internal clients.
  • Maintain the hard-copy and electronic collections of books, law reports, journals and external databases.
  • Assist with the editing, maintenance and development of intranet pages.
  • Input and edit Knowhow and Templates.

 

Handle enquiries

  • Handle a range of information enquiries from internal clients to established service levels.  May be the primary point of contact but will escalate complex enquiries to the Knowledge & Information Manager.
  • Provide information to enable internal clients to carry out their own legal research.

 

Scanning and current awareness

  • Help to scan sources and update fee earners as required.
  • Send out a daily case update.

 

Organise and help deliver trainee training

  • Help to coordinate and organise the new trainees Induction course, every March and September and introduce trainees to the information sources available in the firm.
  • There will also be the opportunity for you to assist with the delivery of such training sessions.
  • Assist with obtaining and analysing feedback to aid the development of future training.

 

Assist with and manage projects

  • Assist with team projects.
  • Identify ad-hoc or small projects to develop team services, which they may be required to plan and run.

 

Organise meetings

  • Arrange meetings and take meeting notes, as required.

Qualifications

Your career experience so far

 

Qualifications:

  • Educated to degree level or equivalent in Information Science or Information Management or a related discipline is desirable.

 

Experience:

  • You will ideally have some experience working in a professional services, office or library environment.
  • You will have good working knowledge of MS Office applications, such as Word, Excel, PowerPoint.
  • Some experience of online research is desirable.

 

Skills:

Organising and managing resources

  • Organise and prioritise workload effectively.
  • Review and interpret existing policies and procedures on a regular basis and make suggestions for improvements.

 

Problem Solving

  • Problems are likely to be repetitive and occur frequently and should be easily resolvable, however, there may be occasions when lateral thinking is required.
  • Take ownership of tasks and ensure they are seen through to completion and beyond.
  • Make decisions within clear guidelines and take the initiative when required and recognise when to seek advice.

 

Communicating

  • Flexible and effective written, verbal and interpersonal skills.
  • Demonstrate the ability to influence to pro-actively build networks that are beneficial to the IS community and the Firm as a whole.

 

Working Relationships             

  • Build a credible reputation as a trusted advisor on information-related matters, both within the immediate team and amongst internal clients.
  • Liaise with internal clients and other IS teams and Business Services departments.
