Job Description

We are advertising for 2 x Document Production Specialist roles, we have one role on the 09.00-17.00 shift and one role on the 10.00-18.00 shift – Please only apply if you can work one of these shifts and state in your application which shift you are interested in or both if applicable.

 

The role

A vacancy has arisen for a Document Production Specialist (DPS) within the Global Business Support Document Production team (GBS DP), supporting all Practice Areas and Global offices. The DPS works as part of the GBS Document Production team and is responsible for providing a direct first class professional document production and customer service to the partners and fee earners in the firm. The DPS will also need to liaise closely with the GBS DP Workflow Specialists (WFSs) and Managers to ensure deadlines are achieved.

 

Key Responsibilities

The DPS reports to the GBS Document Production Management team and is expected to create a positive working relationship with team members.

 

Document Production and Adminstration

  • Providing an accurate and high quality document production service. 
  • Profiles of tasks vary across a large suite of legal and non legal work streams including, but not limited to:
    • Producing high-quality legal documentation using Clifford Chance templates or tailored as per requirements (incl. MS Word, PPT, Excel and Adobe PDF)
    • Document health checks/cleaning and converting
    • Graphics/Charts
    • Document conversions
    • Offering Circulars, Legal Review Reports, Client Briefings, Technical 
    • Bulletins, Mail-Merge, eMailers 
    • Cross-reference checking 
    • Revisions and amendments 
    • Comparisons/blacklining 
    • Copy typing 
    • Audio typing

 

  • Priortise in accordance with agreed deadlines and as directed by the Workflow team. 
  • Ensuring accurate use of the workflow application (Elevate). 
  • Working seamlessly with the Firm's document management system, iManage, for all document retrieval and return to the system. 
  • Ensure any handovers are completed in detail and accurately to ensure a continuous, seamless service.

 

Team Support

  • Working collaboratively with team members to ensure the provision of first class support services to fee earners Globally. 
  • Establish, maintain and develop effective communication with team/colleagues globally. 
  • Complete any ad-hoc duties as requested by GBS Management.

 

Client Focus

  • Delivery of exceptional customer service, present as proactive, friendly, helpful, willing and efficient at all times. 
  • Ensuring timely, efficient and accurate communications with all colleagues and  clients.

 

Working Relationships

  • Success will be dependent on positive and collaborative working relationships which are established with colleagues across all GBS Teams  
  • Key working relationships for a DPS will be:
    • Fee earners to whom they provide first-line support
    • GBS Team Members (across all GBS Hubs)
    • Practice Assistants and Virtual Assistant teams
    • Mail, Print and other Business Professional services

Qualifications

Your experience

Skills & Experience

  • Excellent copy and audio typing speeds. 
  • Intermediate working knowledge of Microsoft Outlook. 
  • Up-to-date experience of Microsoft Suite, eg: Word, PowerPoint and Excel to MS Office 365 Associate level – MOS Certified. 
  • Intermediate knowledge of Adobe Acrobat. 
  • Intermediate knowledge of Adobe suite. 
  • Solid experience within a professional corporate services environment. 
  • GSCE/O-level standard or equivalent. 
  • Strong communication skills are essential, the ability to communicate clearly, persuasively and with sensitivity, both orally and in writing when dealing with lawyers, partners, practice assistants, trainees, paralegals and various support staff. 
  • Demonstrate using own initiative / judgement. 
  • Experience of meeting deadlines, prioritising a busy workload and working under pressure, especially when working alone or during the closing of deals. 
  • Ideally, solid document production experience. 
  • Previous experience within a legal environment would be an advantage

Hybrid Working

Due to the nature of this role, office attendance is required for more than our 'balanced' hybrid working policy. The expectation for this role is to be working in the office for a minimum of 60% of your time.
