The role

The Executive Assistant (EA) to the Global Managing Partner (GMP) will provide first-class secretarial and administrative support to the GMP, ensuring the highest standards of performance, professionalism, organisational skills, and discretion. This role is pivotal in enabling the GMP to lead the firm towards achieving its strategic goals and vision.

While the primary focus of this role is to support the GMP, the EA will also provide support to the senior management team as required, ensuring seamless service delivery through collaboration, mutual support, and shared objectives.

 

Who you will work with

You will collaborate with a variety of teams and senior leaders both in London and around our global network, including; Executive Leader Group, Wider Leadership Group, Partners, Business Professional teams and other EA's and PA's.

 

What you will be responsible for

  • Complex diary management, including organising meetings with participants in different time zones, and forward planning on GMP diary up to one year in advance, including providing support on planning where GMP is invited to external events.
  • Organising all travel arrangements, including booking hotels, flights and local transportation, visa applications, expense claims, organising business related functions, liaising with finance in relation to payment of invoices etc. Tracking all travel for tax purposes. (GMP currently travels approximately 50% of the year).
  • When the GMP travels, in particular to other Clifford Chance offices, working closely with the Chief of Staff in coordinating schedules with leaders and their support staff in that office as well as liaising with them to arrange client and other meetings and events in a manageable schedule for the GMP.
  • Email – monitoring and management of GMP's email inbox. Flagging items for attention and drafting certain email responses on behalf of the GMP.
  • Working closely with the Chief of Staff to prioritise the GMP's time appropriately and ensure adequate support is provided for all of their interactions, including preparation of meeting briefs, itineraries, weekly updates and other administrative activities that support the efficient running of the office of the GMP.
  • Scheduling and supporting the Chief of Staff in the execution of meetings of the Executive Leadership Group (ELG) and Wider Leadership Group (WLG), including associated events for example ELG/WLG dinners. This will include block hotel bookings, managing catering and logistical requirements and other ad hoc support as required.
  • Liaising closely with all EAs/PAs to the ELG members and the Senior Partner to ensure good coordination of activities, particularly travel.
  • Senior Client Contact - GMP regularly interfaces with senior client, supplier and other business leaders. EA will be required to liaise with support staff to these leaders in a professional and efficient manner.
  • Use of CRM system - recording meetings, contacts and meeting notes where appropriate in the firm's CRM system, InterAction.
  • Document Production - Working on Word documents, Excel spreadsheets, PowerPoint presentations.
  • To provide ad hoc support, where necessary, to ensure that the GMP, Chief of Staff and Director of Strategy Implementation are able to perform their roles.
  • Providing holiday cover, from time to time, for other EAs in the management group.

Qualifications

Your experience

 

You will have extensive administrative / PA experience, ideally supporting Partner's and/or senior management within a global professional services organisation.

You will have worked in an initiative-led role and be able to provide world-class support without detailed monitoring and instruction.

Skills:

  • You will be resilient, with the ability to remain calm in highly pressured situations.
  • You will have excellent organisational skills, with the ability to prioritise and manage multiple deadlines, competing tasks and stakeholders at once.
  • You will have excellent communication skills with the ability to liaise confidently at all levels within the firm.
  • You will have a professional and flexible approach and work in a methodical manner.
  • You will be discreet and maintain the utmost confidentiality at all times.
  • You will have meticulous attention to detail and display a high level of accuracy in all skills.
  • You will be proactive and have the ability to work independently whilst maintaining close contact with your manager and colleagues.
  • You will be confident with a high level of proficiency in MS Office. You will also be skilled in the use of enterprise CRM systems (e.g. InterAction).

This role follows our 'balanced' hybrid working approach and as long as business needs allow, you will be supported to work in a hybrid way with the expectation of working from the office for a minimum of 50% of your time.
