Job Description

The Role

At Clifford Chance, the Expatriate Tax Team navigates the complexities of global mobility, assessing and addressing tax implications for international employee movement while streamlining mobility protocols. The team ensures tax compliance, provides strategic tax cost analyses for secondments, and collaborates with HR, global offices, mobility teams, payroll, external providers, and tax regulators to maintain regulatory adherence, optimise efficiency, and enhance profitability.

The department seeks someone to provide dedicated administrative support and become an integral part of the team, helping to achieve its goals.

Key Responsibilities

Global Tax Return Compliance

  • Assist with UK and global tax return compliance for mobile employees, supported by tax vendors.
  • Collate data from stakeholders for tax filings.
  • Reconcile tax payments and liaise with tax authorities, primarily HMRC, providing payroll instructions after reviews.
  • Assist with tax equalisation processes and payments, liaising with secondees, local offices, and payroll teams.
  • Prepare and update regular statistical reports.
  • Review escalation reports from external vendors and suggest actions.

PAYE Settlement Agreements, Short-Term Business Visitor & Branch Reporting

  • Assist in meeting annual internal and external deadlines.
  • Review data sources for annual reporting.
  • Identify outliers and mitigate tax compliance risks.
  • Work with external advisors to obtain certificates of residence for HMRC.
  • Prepare payroll calculations and process adjustments with local payroll teams.

Gathering & Collating Information

  • Assist with data gathering, coordinating, compiling, and filing requests.
  • Communicate internally and externally to collect and share information, including with secondees, global offices, external advisors, and tax authorities.

Social Security

  • Assist with data gathering, coordinating, compiling, and filing requests.
  • Communicate internally and externally to collect and share information, including with secondees, global offices, external advisors, and tax authorities.

Payroll

  • Support assessment of UK inbound, outbound, and non-UK payroll.
  • Prepare monthly shadow payroll calculations and review external vendor calculations.
  • Propose actions for non-UK secondments and coordinate with local payroll teams.

Maintaining Records

  • Manage the external vendor's mobility management tool, including initiating secondment changes and authorising tax support per firm policies.
  • Monitor completion of secondment changes.

Financials

  • Work with external vendors to review professional advice invoices.
  • Maintain trackers and liaise with overseas offices for approvals.
  • Monitor annual bundle fee arrangements.
  • Prepare assignment/relocation cost estimates and track requests from the global mobility team.

Ad-hoc

  • Monitor and manage the team mailbox, responding to queries with input from team managers.
  • Support review and monitoring of remote/virtual working requests from a tax perspective.

 

  • Assist the wider tax team with ad-hoc administrative tasks and projects.

    • Exceptional time management abilities.

    • Proficient in engaging with diverse stakeholders.
    • Strong organisational and multitasking capabilities, with keen attention to detail.
    • Highly motivated, growth-oriented individual, capable of working independently and collaboratively within a team.

    Experience

    • Preferably some experience in a tax-related role.
    • Experience with expatriate tax is advantageous but not essential.
    • General administrative experience.
    • Proven experience in communicating with senior personnel.

    Knowledge

    • Strong numeracy and IT skills, with excellent knowledge of Microsoft Office products (Word, Excel and PowerPoint).
    • 5 A-C GCSE's (or equivalent) including English and Maths.

    No professional qualifications are required, but it would be an advantage if the role holder had an interest in tax.

    Hybrid Working

    This role follows our 'balanced' hybrid working approach and as long as business needs allow, you will be supported to work in a hybrid way with the expectation of working from the office for a minimum of 50% of your time.
